Divide a delivery period into six nodes

Record booking deadline, order confirmation, agreed payment, supplier goods delivery, inspection and packaging, and transportation handover. Each item is marked with the planned date, current evidence and matters to be confirmed; the date of receipt in Ukraine is also marked as the project target. When the supplier only confirms the delivery month, it should not be written as a definite arrival date.

• Supplier: Confirm the model, quantity, whether the reservation is successful and the estimated delivery time
• Buyer: Confirm specifications, payment terms and change handler
• Warehouse: Confirm the warehousing identification information, inspection scope and receiving arrangements before the goods are delivered.
• Transporter: Confirm the shipping plan based on the final packaging and current shipping conditions

Please write down your responsibilities before payment before payment.

Ask about the payment objects, corresponding orders, installment nodes, and how to handle cancellations, out-of-stocks, delays, or when the seller changes specifications. If procurement is entrusted, the scope of assistance should be clearly defined, and the delivery method and cost should be recorded. Do not take screenshots of successful payment as proof of production completion or inventory locking; whether the quantity is locked should be confirmed by the supplier.

Set change as a new confirmation

When there is a model replacement, a reduction in accessories, a delay in delivery, or a change in packaging, keep the old version, record the new plan and its impact, and then confirm it with the designated buyer. You can ask the supplier to update the progress on the agreed date; if there is no reply, mark the node as unconfirmed and re-evaluate the project schedule. Do not let orders that have not been heard from for a long time automatically enter the shipping list.

The waiting plan will be calculated only after the actual position is entered.

Ask the warehouse whether it can receive it, how to identify it, when the temporary storage starts, how long you are allowed to wait, and which operations are charged separately. Goods that are still being produced by the supplier are recorded separately from goods that have arrived at the warehouse. If the goods have arrived from other suppliers, compare the two options of waiting and first delivery, and confirm the packaging, cost and receipt preparation respectively; a long-term purchasing relationship does not mean free warehousing.

Connect purchasing and shipping with one record

For example, if a customized pump is purchased together with a batch of off-the-shelf connectors, the production confirmation of the pump and the arrival status of the connectors must be recorded separately. When the pump is delayed, the buyer decides to wait, batch or reschedule; the transporter can issue an updated plan based on the actual situation.
