When preparing to purchase energy storage products, first create a data package corresponding to the actual model. Names and capacities on product pages are not a substitute for specific versions, supporting components and manufacturer documentation. Leave the use adaptation issues to the manufacturer or the person responsible for technical confirmation, hand over the transportation information to the shipping professional for evaluation, and then arrange the order based on the answers from the two links.

Lock model, version and actual purchasing configuration

Ask the supplier for the complete model number, version identification, nameplate photos and corresponding instructions. List the host, additional batteries, chargers, cables and other accessories separately; inquiry, order and shipping records all reference this configuration. The same series name or similar appearance is not enough to prove that different quotes correspond to the same configuration.

  • Record the manufacturer, complete model number, and vendor-confirmed version information.
  • Confirm which components are included in the quotation, how many pieces of each, and which ones need to be purchased separately.
  • When the data does not correspond or the information is missing, mark it for confirmation and do not fill in the blanks with data from similar models.

Collect equipment input, output and usage requirements separately

Record the input, output, interface and applicable conditions in the manufacturer's documents respectively, and explain the scenarios and equipment to be used. Relevant parameters will be checked item by item by the person responsible for technical confirmation; the buyer's usage assumptions cannot be directly converted into order approval. The goal at this stage is to get a model-specific response, not to speculate on availability in the chat.

  • Keep the original units, parameter applicable conditions, and document page number or source.
  • List the questions that have not been answered and who provided written responses.
  • When it comes to installation or system matching, first clarify the technical responsible party and the scope of work.

Separately organize battery and transportation evaluation data

List the battery chemical system, capacity and unit of each battery, known rated voltage, quantity, configuration and status according to the actual goods. Submit the existing test results and transportation documents together with the corresponding model and issuance information, and the professional will verify the applicability and missing items. Just because the merchant says "can export" or provides a document does not mean that the route and goods have been confirmed by the carrier.

  • Indicate whether the battery is separate, packaged with the device, or installed in the device.
  • Keep records of newness, known damage or other status truthfully and do not speculate on data not provided.
  • When receiving a request for supplementary information, keep the original and corrected versions and map them to the promissory note.

Keep product, labeling, accessories and packaging records consistent

The information package before payment should be able to correspond to the physical objects and packaging after the goods are delivered. Check labels, quantities, accessories and final packaging information; if the supplier changes models, adds batteries, or changes packaging methods, the changes should be returned to the relevant responsible party for review. Photos are for identification and documentation purposes and are not a substitute for testing that has not actually been completed.

  • Record the console, batteries, and accessories included for each box number.
  • Update the inquiry information with the final packaged weight and dimensions.
  • Unfinished inspections are clearly written out to avoid taking the receipt of photos as a sign that all items have been passed.

Keep separate files for technical confirmation and shipping confirmation

Edit example: The usage information has been replied, but the transportation professional is still waiting for the documents of the corresponding model. The order record should show two independent statuses and cannot be written as "all information". The confirmer, scope, basis version and date must be left; when the supplier makes subsequent changes, re-verify the affected parts.

  • Technical qualification records are for which use, configuration and conditions.
  • The shipping reply records what cargo, packaging and planned route it is for, and the undecided remains.
  • Record the quotation, purchase approval and shipping approval separately, and then coordinate the next step with the supplier.
